1. What we collect
Account details (name, work email, organization), the content your workspace uploads (documents, knowledge entries, questions), and basic product telemetry (feature usage, error logs). We don't collect more than the product needs.
2. What reaches the AI model
Only redacted text. Before any model call — for embeddings or chat — identifiers such as Social Security numbers, emails, phone numbers, dates of birth, and long account numbers are replaced with placeholders like [SSN_1]. The real values are restored locally in the reply and never leave our servers. Files attached to projects are redacted before they are stored or indexed.
3. No training on your data
Your documents and questions are not used to train AI models — ours or anyone else's. Model providers process redacted text solely to generate your answers.
4. Tenant isolation
Every workspace is organization-scoped. Retrieval queries are filtered by your organization at the database layer, with secondary checks before results are used. Members of one workspace can never query another's content.
5. Storage & retention
Documents live in access-controlled storage; text and embeddings live in our database, scoped to your workspace. Content stays until you delete it or your workspace is deleted. You can request a full export or deletion at any time.
6. Sharing
We don't sell your data. We share it only with the subprocessors needed to run the service (cloud hosting, model APIs receiving redacted text, email delivery) under contractual confidentiality, or when the law requires it.
7. Security
Encryption in transit, scoped credentials, role-based access inside workspaces (admins curate; members ask), and audit logging of sensitive operations. Report security issues to security@novaire.ai — we read every report.
8. Your choices
Admins can rename or delete the workspace, manage member roles, and require an access key for joining. Any member can correct their profile. Email us to exercise access, export, correction, or deletion rights.
